    How to Organize Email with Folders and Labels

    Take control of a messy inbox with folders, labels, and a simple system that works in Gmail, Outlook, and Apple Mail.

    Pick 4–6 big categories

    Think about what emails you receive most: Bills, Family, Work, Travel, Shopping, Newsletters. Pick a small number — too many folders make it harder to find things, not easier.

    Create the folders or labels

    In Gmail on a computer, click the plus sign next to Labels in the left sidebar. In Outlook, right-click your email account and pick New Folder. In Apple Mail, click Mailbox, then New Mailbox.

    Move existing emails

    Drag messages from the inbox onto a folder or label in the sidebar. To move many at once, hold the Shift key while clicking the first and last message, then drag them all together.

    Set up a filter or rule for future email

    Archive instead of delete

    When you finish reading an email, archive it instead of leaving it in the inbox. Archive means "keep it but hide it" — you can still search for it later, but it clears out the inbox.
