    How to Organize Your Digital Files and Folders

    Create a simple folder system on your computer so you can find any document, photo, or file in seconds.

    Start with a few main folders

    Open your Documents folder on your computer. Create a handful of broad folders for the main areas of your life — for example: "Finance," "Health," "Family," "Work," and "Photos." Right-click in any empty space and choose "New Folder" to create one.

    Create subfolders inside each main folder

    Inside "Finance," create subfolders like "Tax Returns," "Bank Statements," and "Insurance." Inside "Health," create "Medical Records" and "Insurance Cards." Keep it simple — you can always add more later.

    Name files clearly with dates

    Rename files so you know what they are at a glance. A name like "2025-Tax-Return-Federal.pdf" is much better than "document1.pdf." Including the year at the start of the name helps files sort in order automatically.

    Move existing files into their folders

    Go through your Downloads folder and Desktop and move files into the right folders. Delete anything you no longer need. A cluttered Desktop makes finding things harder — aim to keep it mostly empty.

    Keep up the habit

    When you download or save a new file, put it directly in the right folder instead of leaving it in Downloads. At the end of each month, take five minutes to file anything that has piled up. Consistency is the key to staying organized.
