    How to Set Up and Use the Microsoft Outlook App on Your Phone

    Add your email accounts to the Outlook app, read and send messages, and use the built-in calendar to stay organized from your phone.

    Download the Outlook app

    Open the App Store (iPhone) or Google Play Store (Android) and search for "Microsoft Outlook." Download the free app. Be sure the app is from Microsoft Corporation — there are similar-sounding apps from other developers, so check the developer name before downloading.

    Add your email account

    Open Outlook and tap Get Started or Add Account. Enter your email address and tap Add Account or Continue. If it is a Microsoft, Gmail, Yahoo, or iCloud account, Outlook will guide you through a sign-in screen for that service. For Gmail, it will open a Google sign-in page in your browser — sign in there and tap Allow to let Outlook access your Gmail. For Microsoft accounts, sign in with your email and password.

    Quick Tip: You can add multiple email accounts. After adding the first one, go to Settings (tap your profile photo, then the gear icon) and tap Add Account to add a second email address.

    Read and send emails

    After setup, your inbox will appear. Tap any email to open and read it. To reply, tap the reply arrow at the bottom. To forward an email to someone else, tap the forward icon (curved arrow pointing right). To compose a brand new email, tap the pencil icon at the bottom right. Enter the recipient's email address, a subject line, and your message, then tap the send arrow.

    Warning

    Be careful about the Focused / Other tabs at the top of your inbox. If you are not seeing an expected email, tap the Other tab — it may have been filtered there. Important emails from unfamiliar senders often land in Other at first.

    View and manage your calendar

    Tap the calendar icon at the bottom of the screen. You will see a view of your upcoming week or month. Tap any existing event to see its details. To add a new event, tap the plus (+) button. Fill in the title, date, time, and location. You can also set a reminder so Outlook notifies you before the event.

    Search for emails and contacts

    Tap the magnifying glass (search) icon at the top of your inbox to search for emails. Type a name, subject, or keyword. Outlook will search through all your emails, including ones you sent, and show matching results. This is the fastest way to find an old email without scrolling through your entire inbox.

    Outlook's built-in calendar connects to your email — so if someone sends you a meeting invitation or a confirmation email with an event date, Outlook can automatically add it to your calendar. You can view your schedule, add appointments, and set reminders, all inside the same app.

    Microsoft offers Outlook free for personal use. The free version covers everything most people need. If your employer provides a Microsoft 365 account (formerly called Office 365), your work email is likely already configured for Outlook and your IT department may have instructions for connecting it.
