    Organizing Files and Folders in Mac Finder: Tags, Folders, and Sorting

    Open Finder

    Click the blue smiley face icon in your Dock (the bar at the bottom of the screen). A Finder window opens showing your files. You can also press Command + Space, type "Finder," and press Enter.

    Create a new folder

    Navigate to the location where you want the folder — for example, your Documents or Desktop. Right-click in an empty area (or Control-click if you have a one-button mouse) and choose "New Folder." Type a descriptive name like "2026 Taxes" or "Family Photos" and press Enter.

    Use clear, specific names for folders. "Stuff" and "Misc" are hard to navigate later — "Medical Bills 2026" is much easier to find.

    Add a color tag to a file or folder

    Right-click any file or folder. In the menu that appears, hover over "Tags." You will see colored circles — click one to apply that color. The dot appears next to the file name. Click the same color again to remove it.

    Quick Tip

    You can rename tags to something more meaningful. Open Finder, go to Finder menu at the top > Preferences > Tags, then double-click a color label to rename it.

    Sort the contents of a folder

    Open a folder in Finder. Click the "View" menu in the menu bar at the top of the screen. Choose "Sort By" and then pick how you want files ordered — "Name" for alphabetical order, "Date Modified" to see the newest changes first, or "Kind" to group all PDFs, images, and documents together.

    Add a folder to the Finder sidebar for quick access

    Find a folder you use often — such as your main work folder or a specific project folder. Drag it to the left sidebar of any Finder window and drop it under "Favorites." It will appear there every time you open Finder, one click away.

    Finder is the Mac's file manager — the app that shows you all the files and folders on your computer. It looks like the blue smiley face icon in your Dock at the bottom of the screen. If your desktop and Downloads folder have turned into a pile of files you cannot navigate, Finder gives you several tools to get organized.

    Creating folders

    Folders let you group related files together. Think of them like labeled bins. You can create a folder anywhere — on the desktop, in Downloads, or inside another folder. Right-click (or Control-click) in an empty area and choose "New Folder." Type a name and press Enter.

    Using color tags

    Mac Finder lets you assign a colored tag to any file or folder. Tags are great for sorting by project or urgency — you might tag work files red and personal files blue. To add a tag, right-click a file, hover over "Tags," and click a color circle. Once tagged, you can click that color in the Finder sidebar to see every file with that tag, no matter where it is stored.

    Sorting files

    At the top of any Finder window, click the "View" menu and choose "Sort By." You can sort by name (alphabetical), date modified (most recently changed at the top), date added, size, or kind (all PDFs together, all images together, etc.).

    Using the sidebar

    The left side of Finder is your sidebar — a quick-access list of common locations like Desktop, Downloads, Documents, and any tags you use. You can drag frequently used folders into the sidebar for faster access.

    Quick Tip: Press Command + F inside any Finder window to search all your files by name or keyword — much faster than opening folder after folder.
