    How to Get More from Notes App on iPhone and Mac

    Apple Notes does much more than simple text notes — it can organize, lock, scan, draw, attach photos, make checklists, and sync across all your Apple devices.

    Create folders to organize notes

    Tap "Notes" in the top-left corner of the app to go to the folder view. Tap the folder icon with a "+" to create a new folder. Name it something useful: "Medical," "Recipes," "Family," "Work," or "Shopping." Drag notes into folders to keep them organized. This beats scrolling through one giant list of notes.

    Make checklists for to-do lists

    Inside any note, tap the checklist icon (circle with a checkmark) in the formatting toolbar. Each line becomes a checkbox item. Tap a circle to check it off — the item moves to the completed section. Perfect for grocery lists, packing lists, or task lists. Checked items can be automatically hidden to reduce clutter.

    Quick Tip: Say "Hey Siri, add milk to my grocery list" and Siri will add it to the note automatically — great for adding items while cooking.

    Scan a document directly into a note

    Open any note and tap the camera icon in the toolbar (the "+" above the keyboard). Choose "Scan Documents." Point your iPhone camera at a paper document — a prescription, instruction sheet, receipt, or any paper. Notes automatically captures a clean, flattened scan and inserts it into your note. Much faster than taking a regular photo.

    Lock a note for sensitive information

    Tap the three-dot menu (⋮) at the top of any note. Tap "Lock." You'll set a password (or use your Face ID/Touch ID). Locked notes show a padlock icon and require authentication to open. Good for storing: account numbers, important contact details, insurance information, or any note you want to keep private.

    Warning

    Don't forget the password for locked notes — Apple cannot recover it. Use a password you'll remember or the Face ID/Touch ID option.

    Pin important notes to the top

    Swipe right on any note in the list and tap "Pin." Pinned notes appear at the very top of the note list with a pin icon, so they're always easy to find. Pin your grocery list, today's to-do, or any note you access frequently.
